6 best practices for sending SMS messages as a business

1. Get consent to text and ensure customers have an easy way to opt out

Before you start texting your customers, leads, or candidates, make sure you get their consent. This is also called an opt-in. Opt-ins for SMS can be obtained by sending a text to join, having customers fill out a form, or asking your customers to text you first. Read more about how to obtain opt-ins here.

In addition to ensuring you have consent to text your customers, make sure they can opt-out. This means making it easy for them to opt-out by replying “STOP” or “UNSUBSCRIBE.”

2. Keep your texts short and simple

Texting is a great way to get messages to customers quickly, but they are limited to 160-characters. If your message is longer, it may be split into multiple text messages. As a result, keep your texts concise and easy to understand. 

One way to keep SMS concise is to focus on one key call-to-action. Some common examples of call-to-actions are:

  • Schedule a call
  • Confirm an appointment
  • Review a link
  • Buy a product
  • See a coupon code

Ideally, only use one call-to-action per SMS. That way, you are more likely to get a response. 

If you are in need of more space, you can send an MMS message, which allows for up to 1,600 characters.

3. Don’t send too many texts

Your text message frequency matters. If people get multiple messages from your company each day, it will start to feel like spam. As a result, don’t send too many texts to your customers, or you will risk opt-outs. 

4. Send your texts during normal business hours

No one likes being woken up by a text early in the morning, especially if it is from a business. Be considerate of your customers, employees, and leads’ time by sending messages during normal business hours. This is the most socially acceptable time to send a text message. Plus, you’re more likely to get a response. 

One survey found that 27 percent of adults thought it was inappropriate to text outside of business hours.

5. Introduce yourself or your company

Be sure to introduce yourself or your company in your messages. Don’t assume they will know who is texting them. This introduction will help you build trust and likely bolster response rate.

6. Personalize your text messages

A recent study found 71 percent of consumers expect companies to personalize interactions with them. As a result, personalize each SMS to customers. You want to make them feel personal to each customer rather than it feeling like a text blast.

This can be as simple as including their contact name. You could also share something relevant that happened last time you interacted with the customer.

This will go a long way toward building relationships with customers.
